Litigation Docketing Specialist - Philadelphia - Hybrid - $80-95k
OVERVIEW
The Litigation Docketing Specialist will be responsible for maintaining and managing the docket and electronic filings for litigation cases within the firm. This involves tracking deadlines, court dates, and other important events related to legal proceedings, as well as executing accurate electronic submissions. The role requires a strong understanding of legal procedures, procedural court rules, attention to detail, and excellent organizational skills.
RESPONSIBILITIES

Docket Maintenance: Create and maintain a detailed docket for each litigation case. Ensure accuracy and completeness of docket entries within the firm's centralized docketing system. Track and monitor deadlines, court dates, and other important events.
- Electronic Filing (e-Filing): Perform electronic filing in federal, state, appellate, and administrative agency forums. Ensure strict compliance with format, service, and fee requirements. Coordinate service of process with outside vendors, retrieve and distribute filed documents/receipts, and reconcile filing confirmations with docket entries and the document management system.

Deadline Management: Calculate, compute, and communicate critical deadlines to attorneys and staff in accordance with governing rules and case team preferences. Ensure timely filing of documents and compliance with court rules. Proactively identify and address potential conflicts or delays.

Court Research: Research and understand local, state, federal, and administrative court rules, procedures, and deadlines across various jurisdictions. Track judge-specific procedures and standing orders, address inquiries from legal teams, and stay updated on proactive rule changes.

Document Management: Organize and file legal documents in a systematic manner. Retrieve and provide documents as needed, ensuring all records are properly captured within firm systems.

Reporting: Prepare and generate automated reports on docket status, calendars, deadlines, and other relevant information. Provide timely updates to attorneys and professional staff.

Client & Vendor Communication: Respond to inquiries regarding docket status and deadlines. Coordinate with court clerks, service vendors, and clients to obtain or distribute necessary information or documentation.
QUALIFICATIONS

Education: High school diploma or equivalent. (Bachelor’s degree or a combination of paralegal experience with an associate's degree/paralegal certificate preferred).

Experience: Prior experience in legal administration, paralegal work, or a centralized managing attorney's office is preferred, with a strong preference for hands-on litigation docketing and e-filing experience.

Industry Knowledge: Demonstrated knowledge of litigation processes and workflows; familiarity with federal and state court systems, rules, and electronic filing platforms (e.g., CM/ECF, PACER).

Technical Proficiency: Proficiency with standard office software (Microsoft Outlook, Word, Excel) and legal database systems. Experience with rules-based calendaring tools and docketing software is highly advantageous.
